ART. 1: ORGANIZATION

WHAT AN ADVENTURE (WAA) organizes the HALF MARATHON DES SABLES 2019 which will take place from November 30 to December 6, 2019 in Peru (Desierto de Ica). This edition will gather about 500 participants.

 

ART. 2: DEFINITION OF COMPETITION

The HALF MARATHON DES SABLES is a race race, open to walkers, of 3 stages, self-sufficient food and free running at a distance of approximately 120 kilometers, where each competitor must use his equipment (food and material is required).

 

ART. 3: GENERAL REQUIREMENTS

The HALF MARATHON DES SABLES will be executed in accordance with the rules of the event and its annexes (roadbook, ...) to which all competitors agree to submit by the mere fact of their registration.

 

ART. 4: CONDITIONS FOR THE ADMISSION OF COMPETITORS

It is admitted as a competitor to any person of legal age, of any nationality, who meets the requirements of this Regulation and holds the medical certificate of the organization that certifies its suitability for the event.

Adolescents 16 years of age or older will be eligible to participate in the HALF MARATHON DES SABLES subject to the prior approval of WAA, as well as the authorization signed by the parents, guardians or official bodies in charge or responsible for them. They will answer to the same requirements mentioned in this regulation.

Due to the specificity of the course of the race (food self-sufficiency, race rules), escort will not be accepted at the sporting event.

 

ART. 5: CATEGORIES OF COMPETITORS

Category A: INDIVIDUAL PARTICIPANT

Each male or female participant enters the general classification regardless of age or degree of professionalism. However, regardless of the general classification, the following rankings are established:

• Woman

• Man

Category B: TEAM PARTICIPANT

A team consists of at least 2 people. To remain in the race, a team must always consist of a minimum of 2 people. However, each participant of a team enters individually in the general classification.

 

ART. 6: EVENT PROGRAM

November 30: Arrival of participants in Lima, transfer to the bivouac at night.

December 1st: Arrival of the participants to the camp in the morning.

WAA reserve the right to modify:

- The regulation of the HALF MARATHON DES SABLES,

- The appearance of the event (see ART.21),

- The place, dates, and the initial destination in case of force majeure (weather, cataclysm, armed conflict, invasion of any kind, strike, lockout, etc.) or for any other reasons.

 

ART. 7: TECHNICAL, ADMINISTRATIVE AND MEDICAL AUDITS

The verifications will be made at the arrival of the participants.

Each participant will have to see the race stewards, the drivers and the medical team responsible for carrying out these checks. It must imperatively have fulfilled its technical, administrative and medical obligations (see articles 24, 25, 27 and 28) before starting.

Commissioners may do backpack checks at any time. Each element that makes up the participant's equipment and makes reference to the list mentioned above is strictly personal. Each competitor is responsible for his equipment. Any item found and not claimed within 24 hours will be discarded except phone, camera and battery.

During the race, each competitor must keep his equipment: it is forbidden to leave any object in the tent or to leave it to the organization. (See articles 27 and 28)

 

ART. 8: IDENTIFICATION MARKS RESERVED BY THE ORGANIZATION

During administrative and technical checks prior to departure, the organization will provide each competitor:

• 2 numbers numbered 18 cm x 16 cm,

- A number on the top of the chest

- A rear bib (in the backpack)

• An emergency beacon

• Chronotag WAA

During the duration of the event, the identification marks provided by the organization will remain mandatory for each competitor in the place indicated by the organization subject to penalty. At all times, the race stewards may procede to checks. It is strictly forbidden to cover the bibs of the organization with other inscriptions. Each competitor is responsible for their identification marks and must ensure that they are clean, fully visible, in good condition and at the right place, subject to sanctions (see articles 27 and 28). The organization will provide alternative identification marks in case of deterioration or loss. The beacon must be returned at the end of the race. The loss of the beacon will result in a fine of 200 euros (see articles 27 and 28). Each competitor agrees to strictly comply with this article, subject to sanctions (see articles 9, 27 and 28).

 

ART. 9: LOCATIONS RESERVED FOR INDIVIDUAL SPONSORSHIPS

In addition to the identification marks reserved by the organization for each competitor, the remaining available spaces can be used by the competitor for individual sponsorship,

Ex: T-shirt (outside the chest area reserved exclusively for the bib), shorts, socks, caps, backpack...). However, the organization reserves the right to prohibit individual sponsorship, considered excessive or in direct competition with the advertising partners of the organization, or for reasons that the organization does not have to justify.

The chest area at the top is reserved exclusively by the organization to place the bib. The race stewards will not compromise with the positioning of their bibs.

It is up to each competitor to define the good locations of their advertising serigraphs on shirts and backpacks.

 

ART. 10: START OF THE STAGES

The beginning of the stages will be grouped.

Each competitor must attend before the beginning of the stage to the information briefing of the race director.

The competitor must start at the time stipulated by the organization, subject to penalty (see Article 28).

 

ART. 11: STAGES

The mileage, the maximum times allowed and the closing times of each CP will be indicated on the roadbook distributed before the race during the technical controls.

Stage 1: Start of the HMDS PERU race

Stage 2: NON STOP: the headlamp must be on at 7 p.m.

Stage 3: The "FINISHER" medal will be awarded at the end of the final stage.

 

ART. 12: CONTROL POSTS

The water distribution points in the CP and at the end of the stages are mandatory control points.

The control posts are distributed along the axis of each of the stages. They vary from two to five depending on the distance of the stage and are compulsory passage point for each competitor, subject to penalty (see Articles 27 and 28). They allow the race controllers to record each competitor's passing time and guarantee water supply (see Article 16). The closing times of each CP will be indicated in the road book.

 

ART. 13: ARRIVAL OF STAGE / BIVOUAC

A timekeeper will record the daily time of each competitor.

Mandatory control point: water supply.

Arrival to the stage: distribution of 5 liters of water.

Unique and daily bivouac at a previously chosen site where competitors benefit from a tent at the camp. Competitors may spend their free time preparing for their nighttime installation and medical attention if necessary.

 

ART. 14: CLASSIFICATION

The times of each competitor will be clocked in hours, minutes and seconds.

The classification will be shown at the end of each stage in the competition camp.

CATEGORY A: INDIVIDUAL

The classification of the stage is done by adding the time achieved and the penalties received.

CATEGORY B: TEAM

Team time will correspond to the average time used by its members, including penalties.

CATEGORY A and B:

The general classification is done by adding the times obtained in each stage.

Any protest must be made in writing in the race to the commissioners (see Article 27).

 

ART. 15: WATER SUPPLY

Each competitor will have to manage their daily water needs according to the distribution of the water supply as indicated in the road book and at no time will be able to supply by their own means.

The organization deals with the water supply for each competitor.

The typical distribution is as follows:

Stage 1 and 3:

• Between 8 and 10 liters per day, per person and splited according to the number of control points, including the start and end stages.

Stage 2 (long):

• Between 20 and 22 liters during 2 days, per person and divided according to the number of control points, including the start and end stages.

The distribution of 5 liters of water is scheduled for the night of December 1st. The following water supplies will be made at the first check point of stage 1. At the end of each stage, the competitor will receive 5 liters of water to use until CP1 of the next stage. Each competitor will have to manage their daily water needs according to the distribution of the water supply and at no time will be able to supply by their own means.

In an effort to respect the environment, all bottles will be numbered and a penalty will be attributed to the one whose bottle has been found on the axis of the route, between the beginning of the stage, the controls and the arrival (see articles 27 and 28).

Do not go without water: a water reserve is precious or vital if the competitor deviates from the axis of the route for several hours.

 

ART. 16: MEDICAL ASSISTANCE

A medical team, chosen by the organization specialized in sports medicine, will be present throughout the event. She will intervene in the course, at the checkpoints and at the end of each stage. Guarantee repatriation to the bivouac to the competitor who has a physical or moral failure. The medical services shall have the right to remove the bibs and disqualify any competitor who is not in a position to continue the race and / or who has received vital medical attention (see Articles 27 and 28).

 

ART. 17: ABANDONMENT / OUT OF THE CAREER

In no case, under penalty of having to pay the search costs caused to find it, the competitor may not leave the race without notifying the organization and sign an official dismissal provided by WAA. In case of abandonment of a competitor, it is imperative that the organization be warned as soon as possible and give their identification marks to one of the race commissioners or the commissioners' camp.

The competitor whose physical condition is satisfactory will be taken back within 48 hours after signing an official dismissal provided by WAA. While waiting for his transfer, the competitor will automatically receive assistance and will necessarily give his food to the organization.

The withdrawal or disqualification of a member of a team of more than 2 people results in one hour of penalty for the team (see Articles 27 and 28).

In case of a serious medical condition, medical repatriation is organized immediately.

The organization will give the competitor his personal bag, the lodging and food costs will be covered by the competitor.

 

ART. 18: TERRESTRIAL ASSISTANCE

It is good to remember that HALF MARATHON DES SABLES is a race in self-sufficiency, in order to clarify that no external help is strictly prohibited. Any food or water supply during the event will result in a minimum penalty of 3 hours or even exclusion. If a competitor leaves the race route and causes a long search, he will be disqualified and will have to pay a fine (see articles 27 and 28).

 

ART. 19: INSURANCE

The organization signs an insurance policy that covers repatriation risks for all participants.

The subscribed guarantees are the following:

Medical repatriation and repatriation of the body in case of death: real costs for all competitors of the European Union and Switzerland. For competitors who are not residents in the countries mentioned above, the return costs from the place of repatriation to their country of residence will remain totally dependent on them. Therefore, it is strongly recommended to take out insurance individually.

Funeral expenses necessary for transportation: 1,525 euros,

Payment of medical expenses: 15,000 euros.

Each competitor participates with full knowledge of the risks that this competition may cause. The competitors that participate under their own responsibility, the organization declines all responsibility in case of physical failure or accident.

In accordance with the Sports Law of 1984, the organizer is obliged to advise the participant to take out an individual insurance against accidents and death.

 

ART. 20: CLIMATIC CONDITIONS AND NATURE OF THE FIELD

December temperature:

- Average day: 30 °

- Midnight: 11 °

The course of approximately 120 kilometers has a variety of terrain. In the case of a sand wind that does not allow any visibility, each competitor must stop at the axis of the course and must wait for the instructions of the race stewards.

 

ART. 21: SIGNALING

The participants of the HALF MARATHON DES SABLES must follow imperatively the marking of the stages planned by the organization, subject to penalties, according to the configuration of the scenario. For the stages, the route will be indicated every 100 meters approximately. Several natural reference points will serve as additional indications to the participants in order to stay on the axis of the course.

ART. 22: ROAD BOOK

A road map is established during the various reconnaissance missions. The exact course will remain secret and will not be revealed until the delivery of the route book and the course map, before the beginning of the race. This roadbook will include different sections, details of the stages, supervision, etc.

The absence of the route book during the event will result in a penalty (see ART 28). Comments will be given each morning before the start of the day's stage on the most sensitive points, during the briefing in French, English and Spanish.

 

ART. 23: COMPULSORY EQUIPMENT OF COMPETITORS

Each competitor must provide their own equipment for the event (food, equipment, race kit, etc.). Any competitor must comply with the obligations mentioned below during administrative and technical controls (see Articles 27 and 28).

 

Food:

Each competitor must anticipate their food needs from December 2 to 5, as follows:

December 2nd: breakfast, lunch, dinner - FOOD SELF-SUFFICIENCY

December 3rd and 4th: breakfast, lunch, dinner - SELF-SUFFICIENCY OF FOOD

December 5th: breakfast, lunch - FOOD SELF-SUFFICIENCY

The competitor will have to select the foods that seem most suitable to the efforts, weather conditions, transportation and weight. It is strongly recommended to have a minimum of 2,000 k / calories per race day. Gas stoves are strictly prohibited. Competitors may not buy food and water on their own during the race, subject to penalty (see Articles 27 and 28).

 

Meals provided by the organization:

December 1st: breakfast, lunch, dinner

December 5th: gala dinner

 

Compulsory equipment:

• A WAA ULTRABAG 20L backpack or equivalent

• A capacity of 1.5 liter of water (bottle of water, bag of water, ...)

• A sleeping bag,

• One headlamp + 1 full set of spare batteries,

• 10 safety pins,

• A lighter,

• A whistle

• A metal blade knife,

• An antiseptic for the skin

• A signal mirror

• A survival blanket,

• A tube of sunscreen

• 200 euros

• The passport or identity document

• The original medical certificate provided by WAA, duly completed and signed by the doctor

 

Kit for running:

Provided by the organization, it will include:

A road book given before the race (see articles 27 and 28).

Identification marks (see ART 8 list)

This kit will be given during the technical and administrative checks before the race. The emergency beacon will have to be returned to the organization at the final arrival at the end of the race.

 

ART. 24: TICKETS, ENTRY RIGHTS, ADMINISTRATIVE AND MEDICAL OBLIGATIONS

The total amount of the registration fees is €1190 and includes:

1 bus trip on the night from November 30 to December 1st to reach the bivouac

Meals in the camp on December 1st

1 night at the Hotel

WAITING LIST:

If the number of places is reached for the 2019 edition, the organization will set up a waiting list.

Attention: in case of cancellation for a competitor registered in the current edition, no other person can claim to replace it.

Any registration or delay in payment will increase by 90 euros.

In the context of the transfer, bank payments will be borne by the payer. All regulations must be in the order of WHAT AN ADVENTURE

Accuracy: the organization reserves the right to refuse the registration of a competitor without having to give reasons.

 

ADMINISTRATIVE ARCHIVE

Mandatory documents to be transferred to the organization by the HALF MARATHON DES SABLES registry system:

- All the identity information of the competition, contact details, etc.

- Photocopy of passport or identity card (valid 3 months after the race) format .jpeg or .png

- As part of a long-term treatment for chronic diseases send a letter to the Medical Director, by email to registration@halfmarathondessables.com

- The medical certificate of the organization will be sent by email 30 days before the departure date. Must be submitted during the technical, administrative and medical checks before the race. Only the original, dated and signed medical certificate will be accepted (photocopy not valid). Failure to present this document will result in sanctions (see articles 27 and 28).

 

VOLUNTARY ACTIONS FOR PREVENTION AND HEALTH RESEARCH

The organization has decided to establish research and health prevention actions at the HALF MARATHON DES SABLES events. These actions do not have the vocation or competence to replace the current national and international regulations in the field of anti-doping, but are intended to reinforce the medical surveillance desired by the organization. They are carried out in collaboration with the International Trail Running Association (ITRA), Ultra Trail World Tour (UTWT) and Athletes For Transparency (AFT). These actions are led by a medical committee composed of doctors who can consult the experts of their choice and responsible in particular for giving an advisory opinion to the race jury on the medical condition of the participants.

Each runner is free of:

Inform the Medical Committee of the following information:

- any medical history and / or pathology and, in particular, those that may increase the risks during sport

- The use of regular treatments or medications during the 15 days before the start of the race

- Any request or use of a drug subject to a Therapeutic Use Exemption (TUE)

- The declaration of this information to the medical committee must be done through the ITRA health space that each runner can create for free on the ITRA website: www.itra.run (opening an account is free) but it is necessary to access your health space).

Only the Medical Commission and the medical team of the organization can access the declared medical information.

Each runner accepts:

Accept all samples of urine and / or blood and / or hair and / or associated salivary and analysis requested by the Medical Commission of the Organization, provided that the costs involved in the achievement of these samples and associated analysis are the charge direct from the Organization.

Accept to respond to any summons that the Medical Committee sends you based on the information you have gathered, in order to analyze your ability or not to participate in the career to which you have registered. At the end of the interview, the Medical Board may propose to the Jury of the race the out of competition of the runner.

Accept the use of data that concerns you for research purposes, knowing that these data will be used strictly anonymously. In accordance with the Data Protection Law, the broker will have the right of access, rectification and opposition to the data that concerns him. The Medical Commission of the Organization shall be the entity from which the broker may exercise this right.

 

ART. 25: PACKAGES, CANCELLATIONS OF COMMITMENT

Cancellations of reservation requests, package declarations and refund requests must be made by registered letter to avoid any dispute.

In the case of fees already paid or the registration paid in full, the repayment periods are as follows:

100 euros will be retained for application fees in case of withdrawal until 31/07/19.

25% of all registration fees will be retained by the organization in case of withdrawal between 01/08/19 and 31/08/19.

50% of all registration fees will be retained by the organization in case the withdrawal occurs between 01/09/19 and 31/10/19.

After the date of 31/10/19 at midnight, no refund request will be accepted.

Important: WAA highly recommends each competitor to take out personal cancellation insurance. In case of cancellation, WAA undertakes to reimburse the amounts collected in accordance with the previous scale.

 

ART. 26: PENALTIES

Administrative file

In case of incomplete information of the administrative registration file online as of 31/08/2019, the competitor will have a penalty of 30 minutes (see Article 28). WAA will allow a maximum of 30 days to complete the administrative registration online. After the date of 30/09/2019, if the file is still incomplete, the competitor's registration will be canceled (see ART.26, ART.28).

Technical and administrative controls

During the technical checks, if the competitor can not present all his mandatory equipment, the competitor will be penalized or disqualified (see Art.28).

Medical record

During medical checks before the race, the competitor must present the organization's medical certificate. This document must be signed and dated less than 30 days before the start of the race. In case of breach of this obligation, the competitor can not start. However, the competitor will be eligible for participation, after the exam and subject to the agreement of the doctors of the organization. A penalty of one hour will be applied for a missing document (see ART 28).

List of personal issues of the team

Each competitor who leaves one or more elements of his personal equipment must report it to a bivouac commissar. Anyone who can not justify the absence of one or more teams during a test will be penalized (see Article 28).

 

Food

During a test, the competitor who can not present his meals for November 25, 26 and 27: breakfast, lunch, dinner - November 28: breakfast, lunch will be penalized with a fine of 2 hours (See Article 28).

Identification marks

In case of loss or deterioration of an identification mark provided by the organization, it is essential to inform a race commissar as soon as possible, under penalty of penalty. The absence of an identification mark or the failure to respect the locations of the trunk and numbers may result in the exclusion of the competitor (see Articles 8, 9 and 28).

The loss of the beacon of anguish will result in a fine of 200 euros (see article 28).

The falsification of an identification mark will result in the immediate exclusion of the competitor (see Article 28).

 

Start of the stage

A penalty equivalent to the delay will be imposed on any competitor who does not appear under the banner at the time of departure. Beyond 30 minutes of delay, the competitor will be disqualified and will return their identification marks to the race commissioner (see Article 28).

 

Checkpoints / pointing

The control points (before each start of the stage, at the beginning, at the CP and at the end) are obligatory crossing points in which each competitor will be indicated. Any delay of less than 30 minutes at the initial checkpoint will result in a penalty of 30 minutes. More than 30 minutes late, the competitor will no longer be marked and penalized for not scoring. The lack of score at the control point will be penalized for 1 hour the first time, 2 hours for the second time and a disqualification for the third time (see article 28).

 

Maximum time allowed

Exceeding the maximum time allowed for each step will result in exclusion from the race, and the competitor will have to return his identification marks. Any competitor out of time at the CP will be disqualified (see Article 28).

 

Beacon / Lamp / Dorsal

 

Sanctions granted during the stages (see ART 28):

 

01H00 • for any use of the emergency beacon without a valid reason,

00H30 • headlight not on after 19 hours,

00H30 • dorsal not visible

 

Abandonment / Out of Career

It is imperative in case of abandonment of a competitor, which prevents the organization as soon as possible. The abandonment of a member of a team of more than two people in the penalty of one hour for this team, this course to a minimum of two people who stay in the race (see Art. 28).

 

SUBSTANCE USE

If a competitor who consumed non-permitted substances is found by the medical services, career officials will be informed that they will place the competitor out of the race (see Art. 28).

 

BEHAVIOR

Any inappropriate or abusive behavior can lead to serious penalties.

 

EARTH AND MEDICAL ASSISTANCE

It should be noted that all external assistance is strictly prohibited.

The fraudulent external assistance of food or water from a competitor will result in a fine of three hours until disqualification. The use of a means of transport 2, 4 wheels or other will be penalized by the disqualification of the competitor.

Any prolonged search caused by an excessive course error will result in a fine of 200 euros (see ART 28).

Exceptional assistance in water with the approval of race commissaires or medical advice (lack, loss of water or leaks) will result in a penalty of 30 minutes the first time, a penalty of one hour the second and disqualification to the third weather.

The vital medical assistance (infusion, plaster, ...) will have a penalty of two hours the first time and the second will be a disqualification.

 

ENVIRONMENT

Absolute prohibition of discarding food or other containers on the route axis under penalty of penalty (see Article 28).

Complaints

Any protest by a competitor must be made in writing and addressed to the Race Director:

- during the event, it will be filed with the commissioner Bivouac. A response will be communicated within 24 hours.

- After the event, on December 5th at the end of the race, at the competitor's information point (see the route book)
